Dear Dr. Leon Schreiber,
I am writing to formally raise my serious concern and frustration regarding the complete lack of progress on my application for an Unabridged Birth Certificate and Unabridged Marriage Certificate, submitted in August 2025.
It has now been nine months without resolution. During this time, I have made countless attempts to follow up via phone calls, emails, and multiple visits to the Malmesbury Home Affairs office, yet there has been no meaningful action taken on my case.
It is extremely concerning that the Malmesbury branch say there is no booking process that supports this type of application, and not one single person in that office knew how to manage the application process when documentation cannot be found in the archive.
What is particularly unacceptable is the level of inconsistency and apparent disregard shown in the handling of this matter. I have received contradictory information on multiple occasions from HACC and the DHA branch. Most recently, I was told that my records must be retrieved from the archive, despite previously being informed that my physical records could not be located in the archive, where I submitted supporting documentation to facilitate record reconstruction. This lack of accountability and coherence is deeply concerning.
Furthermore, when contacting the HACC, I am repeatedly told that the responsible official/department is “unreachable” and that no direct communication is possible. This explanation is not credible and reflects poorly on the systems and processes in place. Only once did a consultant attempt to escalate the matter to the Pretoria office by calling them directly, but even that effort yielded no outcome.
At this point, the prolonged delay and absence of progress can no longer be excused as administrative backlog. It reflects either a serious breakdown in internal processes or a failure of duty by those responsible.
This situation is now directly impacting my ability to proceed with a visa application, placing me under significant personal and professional strain.
I expect this matter to be urgently investigated and resolved without further delay. I also request clear feedback on the status of my application and the steps being taken to finalise it.
