Honorable Sir, I am a resident of Pietermaritzburg as well as a public servant. I recently read that you have visited our town of Pietermaritzburg in a bid to resolve all issues experienced there. I can concur that Home Affairs PMB is horrible especially so because of a lack of control mechanisms. My personal motto motivates me to write to you today to tender a possible solution to this situation which ought not to be so as I believe that you want to tackle the problem of intolerable ques at the PMB Home Affairs Building
The way I see it is that Home affairs has various core functions assisting to public queries. Why not:
1. Consider moving to a moving the current facility to a better facility that does not feel like a dungeon of doom when a person enters which will firstly allows the visitor to feel less stressed, perhaps a building surrounded by plants, with good lighting, tv's to take the public visitors attention from the wait.
2. Have specific separate sections for specific applications with caring, friendly staff to efficiently assist the public visitor. Use an automated, audio enabled, ticket system which calls the public visitors number automatically to the available stall for assistance. The public visitor should be issued with this on entrance to the facility. This will ensure no cutting of lines and each person will be seen to accordingly. There should also be screens which indicated which number is next for each section to prevent corruption.
3. Ensure that at least 5 functioning windows at each section and back up staff to relieve these staff members for tea, lunch and toilet breaks continuously through the day.
4. Outsource guards to ensure accountability to to eliminate bribery.
5. There should be boards outside the building in official languages instructing the public documents needed for their applications, indicating the process of entering the building and waiting to be seen, open and close times.
There is a similar system at the SARS office in PMB which proves successful. I know that you are looking for fresh new ideas and I hope that this is of help to you.
